Important

This notice explains how The Lean Body Edit uses personal information, how WhatsApp and email communications work, and the terms that apply to the free guides. Marketing consent is always separate from the basic service you request.

1. Who we are

The Lean Body Edit is operated by Aaron Thompson trading as The Lean Body Edit ("we", "us", "our"). You can contact us at aaron@theleanbodyedit.com or via theleanbodyedit.com. For privacy questions, use the email above and put “Privacy” in the subject line.

2. What information we collect

Contact information such as your first name, last name, email address and phone number.

Information you enter into our forms, such as the service you are interested in, your main goal and what is currently getting in the way.

Your communication choices, including whether you have opted in to email marketing and/or WhatsApp marketing, together with the date and method of that choice.

Messages and interaction history when you contact us by email, WhatsApp or through our website.

Booking information if you arrange a call or consultation.

Technical and usage information collected through our website, cookies and similar technologies where permitted by your cookie choices.

If you later become a client, information needed to deliver and administer coaching, including payment and service records. Health information is only collected where genuinely necessary and subject to the additional protections described below.

4. Free guides and WhatsApp delivery

Requesting the guides is not the same as consenting to marketing. If you ask us to send the free guides by WhatsApp, we use your number to provide the requested guides. If you have not separately opted in to WhatsApp marketing, any additional message will be limited to one service message such as checking that the links opened correctly. It will not contain promotional content.

If you tick the separate WhatsApp marketing opt-in, we may also send fitness tips, coaching updates and relevant offers on WhatsApp. You can withdraw that consent at any time by replying STOP or asking us not to contact you on WhatsApp.

5. Email marketing

We only add you to our email marketing list if you actively opt in using the separate email/newsletter checkbox. You can unsubscribe at any time using the unsubscribe link in a marketing email or by contacting us. Withdrawing consent does not affect processing that took place before you withdrew it.

6. Coaching applications

If you submit a coaching application, we may contact you about that application without needing a marketing opt-in because you have asked us to consider your request. If we later want to send unrelated or ongoing promotional messages by email or WhatsApp, we use the separate marketing permissions you have chosen.

7. Health information

Health information is special category personal data. We do not ask for detailed health information on our basic lead forms. If you become a client and health information is genuinely needed to deliver safe coaching, we will explain why it is needed and identify an appropriate UK GDPR Article 9 condition, which may include your explicit consent. We collect only what is necessary and restrict access to it.

8. Who we share information with

We use trusted service providers to run the website, communicate with you and operate the business. Depending on how you interact with us, these may include:

Wix – website hosting, forms, contact management and automations.

Google – business email, spreadsheets and cloud services.

Mailerlite – email marketing and audience management where you have opted in.

Make — automation between systems

WhatsApp / Meta – WhatsApp messaging and, where used, Meta advertising and related services.

Calendly or another booking provider – appointment scheduling if you book a call.

Payment, accounting, professional advisory or IT providers where needed to operate the business or comply with law.

We do not sell your personal information to advertisers. We may disclose information where required by law, to protect legal rights, or in connection with a legitimate business reorganisation.

9. International transfers

Some of our technology providers may process personal information outside the UK. Where a restricted transfer takes place, we use providers that make appropriate transfer safeguards available, such as UK adequacy arrangements or approved contractual safeguards. You can contact us for more information about the safeguards relevant to your data.

10. How long we keep information

Free-guide requester who does not opt into ongoing marketing

Normally up to 90 days after fulfilment and any service follow-up, unless we need a minimal suppression or compliance record.

Marketing subscriber

Until you unsubscribe/withdraw consent, or until we decide the record is no longer active or useful. We periodically review inactive marketing records.

Coaching applicant who does not become a client

Normally up to 12 months after the last meaningful interaction, unless you have opted into ongoing marketing or a longer period is reasonably required for a dispute.

Client and financial/service records

For the duration of the client relationship and then for the period reasonably required for tax, accounting, contractual and legal-claims purposes, commonly up to 6 years depending on the record.

Opt-out / suppression record

We may retain the minimum information needed to ensure we do not contact you again through a channel you have opted out of.

These periods are operational targets, not automatic guarantees. We review data and delete or anonymise information when it is no longer necessary for the purpose for which it was collected.

11. Cookies, analytics and advertising

Our website may use essential cookies and, if you consent through the cookie banner, analytics and marketing cookies or similar technologies. Marketing tools such as the Meta Pixel should not load before the relevant cookie consent is given. You can change your cookie choices using the site’s privacy/cookie controls.

12. Security

We use reasonable technical and organisational measures to protect personal information, including access controls, account security measures and limiting access to people who need the information for business purposes. No internet service is completely risk-free, but we review our arrangements and our service providers regularly.

13. Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to certain processing, receive certain information in a portable format, and withdraw consent at any time where consent is the lawful basis.

Your right to object to direct marketing

You have an absolute right to object to the use of your personal information for direct marketing. If you ask us to stop marketing to you through a channel, we will stop and may keep a minimal suppression record so we do not contact you again by mistake.

14. Complaints

Please contact us first if you have a privacy concern so we can try to resolve it. You also have the right to complain to the UK Information Commissioner’s Office (ICO). Information about making a complaint is available at ico.org.uk.

15. Children

Our online lead forms and free-guide sign-up are intended for adults aged 18 and over. We do not knowingly use these forms to collect personal information from children for marketing purposes.

16. Changes to this policy

We may update this policy when our services, suppliers or legal obligations change. The current version will be published on our website with the effective date shown at the top.

Free Guide Terms of Use

These terms apply to the free recipe, meal-prep, fat-loss and other educational guides made available by The Lean Body Edit.

1. Personal use only

The guides are provided for your own personal, non-commercial use. You may save or print a copy for yourself, but you must not sell, publish, repackage, upload, distribute or commercially exploit the guides without our written permission.

2. Educational information, not medical advice

The guides provide general fitness, nutrition and lifestyle information. They are not medical advice, diagnosis or treatment, and they are not a substitute for advice from a doctor, registered dietitian or other appropriately qualified healthcare professional.

3. Check what is appropriate for you

You are responsible for deciding whether an exercise, nutrition approach or other suggestion is suitable for you. If you have a medical condition, injury, are pregnant, take medication, have a history of disordered eating, or are unsure whether an activity or dietary change is suitable, seek appropriate professional advice before acting on the guides.

4. No guaranteed results

Examples, plans and progress illustrations are not guarantees. Results vary between individuals and depend on factors including starting point, consistency, nutrition, activity, sleep, health and adherence.

5. Intellectual property

Unless stated otherwise, the guides, branding, written content and design are owned by or licensed to The Lean Body Edit and are protected by intellectual property laws.

6. Availability and updates

We may update, replace or withdraw a free guide at any time. We do not promise that a particular free resource will remain available indefinitely.

7. Liability and statutory rights

Nothing in these terms excludes or limits liability where it would be unlawful to do so, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Nothing affects any statutory rights you have as a consumer.
